Smart Panda Tools - AI Policy
1. PURPOSE AND SCOPE
This policy outlines how Smart Panda Tools integrates Artificial Intelligence (AI) into our operations and products. Our goal is to leverage AI to enhance efficiency and provide superior tools while maintaining the highest standards of data integrity, security, and privacy.
2. OUR CORE AI PRINCIPLES
We adhere to “Safety First” principles in every AI implementation:
- Privacy by Design: AI is integrated with privacy as a foundational requirement, not an afterthought.
- Human Oversight: AI outputs are treated as drafts or suggestions; critical decisions always involve human review.
3. DATA PROTECTION & PII REDACTION
To protect our users and partners, Smart Panda Tools enforces strict data handling protocols:
- Automated Redaction: Before any document or dataset is transmitted to an external AI model for analysis, it undergoes a mandatory screening process to identify and redact Personally Identifiable Information (PII) (e.g., names, SSNs, addresses, birthdates).
- Data Minimization: We only send the minimum amount of data necessary for the AI to perform the requested task.
4. TRAINING AND MODEL USAGE
Your data belongs to you. We maintain a strict boundary between customer data and AI model improvement:
- Training: Smart Panda Tools does not allow AI vendors to use customer-provided data to train their “base” models. All data used for Smart Panda model training is redacted in order to remain anonymous.
- Architecture: We prioritize using API-based enterprise versions of AI tools, which, by default, do not utilize inputs for model training.
5. THIRD-PARTY AI SUBPROCESSORS
We only partner with AI service providers (subprocessors) that meet or exceed our security standards.
- Vetting: Every AI subprocessor must undergo a security review and provide documentation of their privacy standards (e.g., SOC2, ISO 27001, or GDPR compliance).
- Contractual Safeguards: We ensure our Data Processing Agreements (DPAs) with AI providers strictly prohibit the unauthorized use or retention of our data.
6. ETHICAL USE AND ACCURACY
- Bias Mitigation: SmartPanda’s products use AI only for data extraction and not for judgements or assessments, limiting any risk of bias.
- Fact-Checking: Because AI can occasionally provide incorrect information, Smart Panda Tools products involve the human in the loop for quality review.
